Summary of Position 

Reporting to the Communications Coordinator, the Communications Executive is a junior-level position primarily responsible for supporting the SCP Department in ensuring clear, consistency, and engaging messaging across all school communications.

The main areas of focus include content development, social media management, website management, cross-department coordination, brand alignment, digital tool support, data analysis, and cross-functional collaboration – ensuring all communication efforts reflect the school’s core values and maintain consistency across channels.

Key Responsibilities 

  1. Communications Policy & Brand Compliance
  • Implement school-wide written communication strategies in line with the School Communications Policy, as directed by the Head of SCP and coordinated by the Communications Coordinator.
  • Ensure all communications maintain consistent tone, language, and visual identity, adhering to the school’s Brand Guidelines and core values.
  1. Internal & External Communications Coordination
  • Liaise with the Management Team and departments to deliver timely, accurate communication to parents and stakeholders, following the Communications Request Procedures. This includes, but is not limited to, official updates, reminders, event invitations, and resource sharing.
  • Collaborate with the Head of School Office and various departments to curate and design monthly newsletters across relevant platforms, ensuring optimal readability and user engagement.
  • Prepare and distribute digital forms and surveys as needed. Monitor responses and support departments in interpreting survey results for data-informed decision-making.
  • Assist in drafting external-facing content, including partner communications, press releases, and crisis messages, under the guidance of the Communications Coordinator and Head of SCP.
  • Ensure all communications reflect the school’s guiding statements, CIS standards, unique selling points, and community spirit.
  1. Publications & Content Development

Assist in developing and maintaining school publications such as Parent Handbooks, the School Prospectus, Yearbook, Fee Schedules, Admissions Materials, presentations, taglines, messaging pillars, and slogans. Ensure all written materials are accurate, aligned with school branding, and effectively communicate key messages to their intended audiences.

  1. Social Media & Website Content Management 

(in collaboration with the Copywriting Intern – who serves as the primary content executor)

Provide direction and oversight to the Copywriting Intern to ensure alignment with the school’s communication objectives, brand voice, and overall positioning:

  • Support the development of long-term and weekly content calendars for the school’s social media platforms (Facebook, Instagram, LinkedIn) and website.
  • Review and oversee the drafting and publishing of engaging posts and articles that reflect school life and support Marketing and Enrolment goals.
  • Ensure consistency and alignment across all digital platforms with the school’s mission, tone of voice, and strategic communication standards.
  1. Communications Records & Resource Management
  • Maintain an organised departmental resource folder on OneDrive/SharePoint, ensuring proper documentation and easy access to all communication records.
  • Manage and update the Communications Calendar (Excel-based) using the approved template to track past, ongoing, and upcoming communications for transparency and departmental continuity.
  1. Digital Tools, Data Management & Analysis
  • Ensure professional design and accurate recipient segmentation when using the school’s emailing tool to send newsletters and email blasts.
  • Regularly update recipient data by integrating information from the school’s data management system to ensure clean, reliable contact lists.
  • Utilise existing tools – and suggest new ones where appropriate, to enhance communication efforts.
  • Collect and analyse relevant metrics to evaluate communication effectiveness and support data-driven improvements.
  1. Departmental & Cross-functional Support
  • Assist the Communications Coordinator and Head of SCP in various strategic tasks including CIS accreditation, internal policies, departmental budgeting and payment documentation according to the approved budget and accounting procedures.
  • Provide hands-on support at school events coordinated by the Marketing team to gain insight and create relevant post-event content.
  • Collaborate effectively with the Marketing team in graphic design, publication development, and digital platform management to ensure cohesive messaging across all channels.
  • Assist Marketing with all content-related tasks within their current scope, including drafting video scripts, marketing material content, and other communications support as needed.
  1. Additional Responsibilities

Carry out any other duties assigned by the Communications Coordinator in support of the school’s strategic communication goals.

Requirements 

 

Experience / Knowledge 

Bachelor’s degree in Marketing, Education, Linguistics, or a related field  Essential 
1-3 years’ experience in communications, marketing, or content-related role    Essential 
Experience in an international or educational environment    Desirable 
Knowledge of school branding and/or CIS standards    Advantageous 
Skills 
Excellent spoken and written English and Vietnamese  

(proof of English language proficiency may be required)
