JOB DESCRIPTION
Job Summary:
The School Register plays a crucial role in ensuring the smooth and compliant operation of AHI preschool, primary and secondary school in District 2 by acting as a key liaison with government authorities and by developing and implementing a comprehensive library program aligned with MOET regulations.
This position requires a highly organized, detail-oriented, and proactive individual with excellent communication and interpersonal skills, as well as a strong understanding of Vietnamese educational policies.
Responsibilities:
- Government Liaison and Representation:
- Serve as the representative of AHI in all meetings, discussions, and official communications with relevant government authorities at the local, provincial, and national levels (e.g., MOET, Department of Education and Training, People’s Committee, etc.).
- Build and maintain positive and productive relationships with government officials.
- Stay informed about all relevant changes in government regulations, policies, and directives related to education in Vietnam.
- Attend workshops, seminars, and conferences organized by government agencies to stay updated on best practices and compliance requirements.
- Effectively communicate information received from government authorities to the Head of School, principals, and relevant management team members in a timely and clear manner.
- Governmental Reporting and Compliance:
- Collaborate closely with the principals of the kindergarten, primary, and secondary sections, as well as the school management team, to gather necessary data and information for timely and accurate reporting to governmental agencies.
- Develop and maintain a comprehensive system for tracking reporting deadlines and requirements for various governmental bodies.
- Ensure all required reports (e.g., statistical reports, accreditation updates, compliance documents) are prepared accurately, reviewed thoroughly, and submitted on time.
- Assist in the preparation for and coordination of any inspections or audits conducted by government authorities.
- Maintain organized records of all communications, submissions, and approvals from government agencies.
- School Report Preparation:
- Take primary responsibility for the compilation, writing, and formatting of various school reports as mandated by governmental agencies.
- Work with relevant departments and staff to collect necessary information and data for report generation.
- Ensure all reports adhere to the specific guidelines, formats, and deadlines set by the respective government bodies.
- Maintain a high level of accuracy and attention to detail in all submitted reports.
- Any other tasks assigned by the Operations Manager.
Qualifications:
- Bachelor’s degree in Education, Library Science, Public Administration, or a related field. A Master’s degree is preferred.
- Minimum of 5years of relevant experience in an educational setting, preferably within the Vietnamese education system.
- Demonstrated understanding of the Vietnamese Ministry of Education and Training (MOET) regulations and guidelines, particularly those related to school operations and library programs.
- Proven experience in liaising with government authorities and preparing official reports.
- Strong knowledge of library management principles, information literacy skills, and age-appropriate literature.
- Excellent written and verbal communication skills in both Vietnamese and English.
- Strong organizational, time-management, and problem-solving skills.
- Ability to work independently and collaboratively as part of a team.
- Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint) and library management software.
